On this page
In short
- Open Your profile › Calendar and click Create link. The link is yours alone and shows the posts of this workspace you may see.
- Click Open in Apple Calendar, Add to Outlook or Add to Google Calendar. Or copy the link and paste it into your app (see below).
- The app picks up changes by itself: Apple and Thunderbird as often as you set, Outlook every few hours, Google about once or twice a day.
- Under What's in it you choose the posts, stages, channels, tasks, day notes and how much detail. Default: approved, scheduled and published, no caption.
- The link works like a key: anyone who has it sees what is in it. If it got out, make a new link or revoke it.
Privacy: the link is a key
- The link holds a long secret code. Anyone who has it can read your calendar without signing in. Do not share it or post it anywhere.
- It shows only what you may see in this workspace right now. If your role changes, the calendar follows at its next refresh; if you leave the workspace, it ends.
- The provider of your calendar app (Apple iCloud, Google, Microsoft) fetches the events and stores them on its servers. A post's caption is only included if you choose With caption.
- New link or Revoke in your profile stops the old link at once. Deleting your account deletes your links too.
Apple Calendar on the Mac
- Quickest: in your profile click Open in Apple Calendar. Calendar asks whether to add the subscription.
- By hand: in Calendar choose File › New Calendar Subscription, paste the link and click Subscribe.
- Choose iCloud as the location, so the calendar shows on your iPhone and iPad too (On My Mac keeps it on this Mac only). Under Auto-refresh choose how often it checks, for example every hour.
- To change this later, Control-click the calendar and choose Get Info.
iPhone and iPad
- Quickest: open Draftdeck in Safari, go to your profile and tap Open in Apple Calendar.
- By hand: copy the link. In the Calendar app tap Calendars at the bottom, then Add Calendar › Add Subscription Calendar. Paste the link and tap Find (iOS 18 and earlier: Subscribe).
- Choose iCloud as the account and tap Done (iOS 18 and earlier: Add). It then shows on your other Apple devices too.
Outlook on the web and the new Outlook for Windows
- Quickest: in your profile choose Add to Outlook, then Outlook.com (personal) or Microsoft 365 (work or school). Outlook opens its dialog with the link filled in; click Import.
- By hand: choose Calendar › Add calendar › Subscribe from web, paste the link, give it a name and choose Import.
- Microsoft refreshes subscribed calendars on its own schedule: according to Microsoft usually about every 3 hours (Outlook.com) or 6 hours (work or school), and sometimes it takes more than 24 hours.
Classic Outlook for Windows
- Choose Home › Add Calendar (or Open Calendar), then From Internet. Paste the link and confirm with OK and Yes.
- Or: File › Account Settings › Account Settings › Internet Calendars › New.
- With a Microsoft 365 or Outlook.com account you can also add it on the web; it then shows in every Outlook app of that account.
Outlook for Mac
- Add the calendar in Outlook on the web (see above) with the same account. It then shows in Outlook for Mac too.
- Only on the Mac, without an Outlook account: use Apple Calendar (see above).
Google Calendar
- Quickest: in your profile click Add to Google Calendar, then click Add in Google's window.
- By hand, on a computer: open calendar.google.com, click + next to Other calendars, then From URL. Paste the https link and click Add calendar.
- The Google Calendar app on a phone or tablet cannot add a subscription. What you added on the computer shows there though; if it does not, turn on Sync for that calendar in the app's settings.
- Google fetches subscribed calendars on its own and names no fixed schedule; it usually takes several hours, up to a day. It cannot be sped up.
Thunderbird
- In the calendar click New Calendar (the + next to Calendars) and choose On the Network. Paste the link as the Location, leave the username empty, then click Find Calendars and Subscribe.
- To set how often it checks, right-click the calendar and choose Properties.
When something does not work
- Nothing shows: wait for the first refresh (Google: up to a day) and check the stages and channels under What's in it. Posts without a date and posts in the trash are never in it.
- The app says the calendar cannot be reached, or it stopped updating: the link was revoked or replaced, or you are no longer in the workspace. Remove the old calendar in the app and add the new link.
- Google cannot fetch the link: paste the https link under From URL, not the webcal one.
- The events cannot be edited: a subscribed calendar is read only. Change the post in Draftdeck; the calendar follows at its next refresh.
- Under the link in your profile you see whether and when a calendar app last read it.
